Weekend Administrator
16 hours a week£8.30
Weekend work only - Saturday / Sunday
12 Month Maternity COVER

Role Purpose

To provide administrative support at a plant and be the first point of contact for any site enquiries.

Key Responsibilities

* Ensure weighbridge is fully operational at weekends
* Assist drivers with weighbridge issues as / when required
* Complete daily reports for the weekend transactions
* Complete drivers time sheets and enter mileage information in to system
* Provide full time cover for Administrator as / when required, which would include, but is not limited to the following:
* Create Purchase Orders for approval.
* Ensuring the purchase order process operates as per company policy.
* Updating the procurement system with regards good received notes (GRN)
* Troubleshoot when required on the company's procurement system (Proactis).
* Manage the sites personnel files.
* Submission of weekly absence returns.
* Deal with waste input queries.
* Deal with client/supplier queries
* Man the sites telephone system during working hours.
* Collect, open and distribute post
* Ensure the office is functional i.e. maintain stationery stocks and that the relevant machinery is available (copiers, faxes etc);
* Make refreshments for management meetings when required.
* Managing the booking of the sites meeting room
* Monitoring the sites holidays, sickness, attendance

Qualifications and Experience (preferred)

* 5 GCSEs including English and Maths (Grade C or above).
* IT proficient.
* A recognised qualification in secretarial or administrative skills. These can

Include:

* NVQ Level 2 or 3 in Business and Administration
* OCR Higher Diploma in Administrative Procedures
* City & Guilds Advanced Diploma
* Higher Professional Diploma in Business Administration

* Strong organisation skills.
* Friendly, reliable, polite and helpful, who has experience with dealing with the
* public and customers.
* Well developed interpersonal skills
* Ability to work in an efficient and effective manner.
* Good timekeeping skills and ability to meet deadlines.
* Diplomatic.
* Confident.
* Strong communication skills, both written and spoken.
* Discretion.
* Ability to multi task.
* Ability to use initiative.
* Ability to build good relationships - you will be the main point of contact for many clients.
* Ability to exercise good judgement.
